Our Commitment

Boothby exists to help you document your children's learning journey. We take that responsibility seriously. This privacy policy explains, in plain language, what data we collect, how we use it, and what rights you have.

We do not sell, rent, or share your data with third parties for marketing purposes. We never have, and we never will.

What Boothby Is

Boothby is a learning log and evidence app that helps parents (especially homeschooling families) and educators document and track children's learning activities. You create entries about learning activities, add photos, organise them by subject, and can search, filter, and export them for reporting or portfolio purposes.

What Data We Collect

Important: What data we collect depends on how you use Boothby:

• Free offline version: We collect nothing. Your data stays on your device only.
• Boothby Cloud (paid subscription): We collect the information described below.

Information You Provide

• Account Information: When you sign up for Boothby Cloud, we collect your email address and name
• Learning Entries: The activities you record, including subject descriptions, dates, notes, which children were involved, and subject/learning area tags
• Children's Information: Names and colour preferences for visual identification in the app
• Photos: Images you choose to attach to learning entries as evidence
• Workspace Information: Workspace names and member roles if you invite others to collaborate

Information We Collect Automatically

• Technical Information: Device type and operating system, browser type and version, IP address, and time zone

We collect this information to make the app work properly and to understand technical issues when things go wrong.

Authentication Services

Boothby Cloud only: When you sign in using a social login provider (like Google, Microsoft, or Apple), that provider shares your email address and name with us. We don't receive your password from these providers. Your relationship with those providers is governed by their own privacy policies.

Free offline version: No sign-in required. No authentication data collected.

How We Use Your Data

Primary Purpose: Providing the Service

We use your data to:

• Display your learning entries in the app
• Store and show your photos
• Generate calendar views and search results
• Create PDF exports when you request them
• Allow collaboration if you've invited others to your workspace

Improving the Product

We may look at aggregated, anonymised data to understand how Boothby is used. For example: "What percentage of users create entries weekly vs. monthly?" or "Is anyone using the subject tagging feature?"

We never examine individual users' data for these purposes. We look at overall patterns, not specific families or entries.

Error Reporting and Crash Analysis

When something goes wrong, we need to know about it so we can fix it:

• Mobile Apps (all versions): We use Sentry to collect crash reports and error logs
• Boothby Cloud: We use Azure Application Insights to monitor the backend service for errors and performance issues

Important: We configure these tools to obscure personally identifiable information (PII). We see that "an error occurred when uploading a photo" but not the photo itself or whose account it was in. We see error messages and stack traces, not your children's names or learning activities.

Email Communication

Boothby Cloud only: If you have a Boothby Cloud account, we'll use your email address to:

• Send important updates about features that affect you
• Notify you of significant policy changes
• Respond to your support requests

What we won't do: We don't send marketing emails, promotional content, newsletters, engagement campaigns, or "tips and tricks" messages. If we email you, it's because there's something genuinely important you need to know.

Free offline version: We don't have your email address, so we can't email you.

What We Don't Do

No User Tracking or Analytics

We do not use tools like:

• Google Analytics
• Facebook Pixel
• Hotjar
• Mixpanel
• Or any other "how users interact with the app" tracking services

We don't track which buttons you click, which pages you visit, how long you spend on screens, or build behavioural profiles.

No Marketing or Advertising

We do not:

• Show ads in Boothby
• Sell your data to advertisers
• Share your data with marketing platforms
• Build marketing profiles
• Track you across other websites

No Third-Party Integrations

Boothby Cloud doesn't integrate with other services beyond:

• Social login providers (Google, Microsoft, Apple) for authentication only
• Cloud storage for your photos (secured by Azure)

Free offline version has no third-party integrations at all. Your data never leaves your device.

If we add integrations in the future (like calendar sync), we'll update this policy and notify you. But we will never add or integrate with tracking or marketing services.

How We Store Your Data

Where It's Stored

Free offline version: Your data is stored only on your device. We never see it, store it, or have access to it.

Boothby Cloud: Your data is stored in secure data centres provided by Microsoft Azure. The actual location may vary, but it's stored in regions that comply with modern data protection standards.

How It's Protected

Free offline version:

• All data is encrypted at rest on your device
• No network transmission of your data
• No authentication required - it's your device, your data

Boothby Cloud:

• All data is encrypted in transit (HTTPS/TLS)
• Photos and attachments are encrypted at rest in Azure Blob Storage
• Database backups are encrypted
• Access to data requires authentication and workspace authorization
• We follow industry-standard security practices

Who Can Access It

Free offline version:

• Only you. It's on your device. We never see it.

Boothby Cloud:

• You and people you invite: If you add someone to your workspace as an editor or viewer, they can see the data in that workspace according to the permissions you grant
• Us (Verdaniq): We have technical access to the servers, but we don't browse your data. We only access individual accounts when necessary to:
  • Respond to your support requests
  • Fix technical problems you've reported
  • Comply with legal obligations

Your Rights and Choices

Access Your Data

Everything you've entered into Boothby is accessible to you through the app. You can view, edit, search, and export all of it.

Delete Your Data

All versions: You can delete individual entries, children, or subjects through the app.

Free offline version: Delete the app to remove all data from your device. We have no copies.

Boothby Cloud: You can delete entire workspaces or request full account deletion by contacting us at privacy@getboothby.com. When you delete data:

• It's immediately removed from the app
• We soft-delete it in our database (mark as deleted) for 30 days in case you change your mind or need recovery
• After 30 days, it's permanently deleted from our systems
• Backups may retain deleted data for up to 90 days, after which it's purged

Export Your Data

You can export your learning entries to PDF through the app. If you need a complete data export in a machine-readable format (like JSON), contact us at privacy@getboothby.com. Note that we will always do this, at no charge (for "within reason" requests), but make no commitments to SLAs for how quickly we will do this. Data export features are coming to Boothby Cloud for this purpose.

Control Sharing

You control who has access to your workspaces. You can:

• Invite collaborators
• Change their permission levels
• Remove their access at any time

Children's Privacy

Boothby is designed to help you document your children's learning. However:

• We do not collect information directly from children
• Parents/guardians control all data entry
• The app is intended for use by adults (parents, educators)
• Children's names and photos are only visible to people you've invited to your workspace

If you're under 16, you should not create a Boothby account without parental permission.

Changes to This Policy

If we make significant changes to how we handle your data, we'll:

• Update this document with a new "Last Updated" date
• Email you about the changes
• Ask for your consent if the changes require it under applicable law

Minor clarifications or updates to contact information may be made without notification.

Data Retention

Free offline version: Your data remains on your device until you delete the app.

Boothby Cloud: We keep your data as long as:

• Your account is active, OR
• You need it for the purposes described in this policy

If your account is inactive for 3 years, we'll email you asking if you want to keep it. If we don't hear back after 90 days, we'll close the account and delete the data according to our deletion process described above.

International Users

Boothby is operated from Australia.

Free offline version: Your data stays on your device, wherever you are.

Boothby Cloud: If you're using Boothby from outside Australia, your data may be transferred to and stored in Australia or other countries where our service providers operate. By using Boothby Cloud, you consent to this transfer. We take steps to ensure your data receives an adequate level of protection wherever it's processed.

Legal Basis for Processing (GDPR)

If you're in the European Economic Area, UK, or Switzerland, we process your data based on:

• Contract Performance: To provide the Boothby service you've signed up for
• Legitimate Interests: To improve the product and fix bugs (in anonymised, aggregated form)
• Consent: For optional features you've explicitly agreed to

You have additional rights under GDPR, including the right to object to processing, request data portability, and lodge complaints with supervisory authorities.

Remember: Boothby exists to serve families and educators. We're not a surveillance company, an advertising platform, or a data broker. We're a tool to help you celebrate your children's learning milestones.
